Personal Information Protection Policy

Calbee, Inc. (referred to below as “Calbee” or as “we”, “us” or “our”) recognizes the importance of personal information and has adopted this Personal Information Protection Policy to ensure that we manage personal information securely. Calbee has established a compliance program for the protection of personal information in accordance with the Japanese Industrial Standard (JIS Q 15001) and carries out business operations based on the compliance program.

Basic Policy

  • 1. We clearly specify the purpose of collecting, using, and providing personal information. We collect personal information in a fair and lawful manner.
  • 2. We have appointed a personal information protection manager to properly manage personal information, and we endeavor to prevent personal information leaks. In addition, we take appropriate and reasonable security measures to ensure that personal information is protected from unauthorized access by external parties, loss, destruction, modification, or leaks, and we promptly take corrective measures against any security risks.
  • 3. We use your personal information only to the extent necessary to achieve the purpose of collecting it. We use your personal information appropriately, and exercise the utmost care to ensure that your rights are not harmed. Furthermore, we will not disclose or provide your personal information to any third parties without your consent.
  • 4. We comply with laws and regulations and other rules that apply to personal information.
  • 5. We continue to improve the compliance program according to changes in the circumstances.

We have adopted the Privacy Policy for the protection of personal information described below (“this Policy”) based on the above Basic Policy. Unless otherwise specifically defined in this Policy, the terms used in this Policy shall have the meanings as defined in the Act on the Protection of Personal Information (the “APP”).

We use your personal information we collect under the circumstances described below in the “Types of personal information” column, within the scope of the corresponding purpose of use (the “Purpose of Use”). However, if the purpose of use of your personal information is otherwise specified for a particular product or service, we use the personal information as specified. In addition, we obtain your prior consent before we use your personal information beyond the scope of the Purpose of Use unless otherwise permitted by the APP or any other applicable laws and regulations.

2. Provision to Third Parties

We will not provide your personal data we process to any third parties without your prior consent unless:

  • [2] The provision is required to protect the life, physical wellbeing, or property of a person, but it is difficult to obtain your consent;
  • [3] The provision is particularly necessary to improve public health or promote children's healthy growth and development, but it is difficult to obtain your consent;
  • [4] It is necessary to cooperate with a central or local government agency or a person entrusted by the central or local government agency when they perform their administrative duties specified by law, and obtaining your consent could adversely affect the execution of such administrative duties;
  • [5] Opt-out procedures are taken and the Personal Information Protection Commission is notified; or
  • [6] Your personal data is provided to an outsourcee, which we engage to process your personal data to the extent necessary to achieve the purpose of using said data.

3. Outsourcing

We may outsource the processing of your personal data to a third party to the extent necessary to achieve the Purpose of Use in order to provide you with better service. If we outsource the processing of your personal data to a third party, we will first assess potential outsourcees in the selection process based on our pre-determined criteria. We will exercise appropriate oversight of the outsourcee that has been selected.

4. Joint Use

We may use your personal data jointly with Calbee Group companies as follows:

5. Security Measures

We take necessary and appropriate measures to prevent leaks, loss, or corruption of personal data we process and to secure other personal data. The security measures we take include the following:

  • (1) Internal rules and regulations
    We have put rules in place that set out how personal information should be processed at each data processing stage, including collection, use, provision, and disposal. Personal information officers have been appointed and their duties have been defined. We regularly review the rules.
  • (2) Organizational structure
    We have appointed a personal information protection manager who is responsible for supervising all aspects of the processing of personal data at Calbee. We have a communication structure in place to allow an employee who becomes aware of a security breach to promptly contact the personal information protection manager and report the security breach.
  • (3) Regular inspections and audits
    We take measures to check how we process personal data, which include regular self assessments and audits by other departments and an external auditor.
  • (4) Employee training
    We conduct regular training for our employees so they can learn about the protection of personal information and information security. We take measures to ensure that the employees are well aware of their confidentiality duty by including the confidentiality clause in our workplace rules.
  • (5) Management of electronic devices and electronic media etc.
    We take necessary measures to prevent theft or loss of electronic devices and electronic media which contain personal data, and prevent personal data leaks.
  • (6) Prevention of unauthorized access etc.
    We take measures to protect personal data from unauthorized access by external parties, including the use of SSL (which stands for Secure Sockets Layer) to prevent customers' sensitive information, such as personal information and credit card numbers, from being intercepted, interrupted, or modified when the information is entered.
  • (7) Monitoring of external environment factors
    If we process personal data in a foreign country, we have a structure in place to allow us to monitor the personal information protection regime of that country in a timely manner and take necessary action accordingly.

6. Disclosure, Correction, and Deletion of Personal Information

  • (1) You may request that we disclose your personal data retained by us, or our records of providing such personal data to third parties, by following our procedures described below, except in the following circumstances:
    1. [1] The disclosure could harm your or any third party's life, physical wellbeing, property or other rights or interests;
    2. [2] The disclosure could have a significantly adverse impact on the proper execution of our business operations;
    3. [3] The disclosure would be in violation of law; or
    4. [4] We are unable to verify that you have made the disclosure request.
    Please note that if you request that we disclose your personal data retained by us, or our records of providing such personal data to third parties, you may be asked to pay a disclosure fee in accordance with our procedures.
    1. (2) You may request that we correct, add, or delete your personal data retained by us by following our procedures described below, in which case we will, without delay, conduct an investigation to the extent necessary to achieve the Purpose of Use and we will correct, add, or delete your personal data retained by us based on the results of the investigation.
    2. (3) You may request that we cease to use your personal data retained by us and cease to provide such personal data to third parties by following our procedures described below, in which case we will respond to your request in accordance with the APP.

    3. Procedures for requesting disclosure, correction, addition, deletion, or cessation of use of personal data, or cessation of provision of personal data to third parties

      We will then send you a Request Form for Retained Personal Data Disclosure etc. by email or ordinary mail.
      When you submit a request, you will need to attach either one identification document with a photograph or two identification documents without a photograph, together with the Request Form for Retained Personal Data Disclosure etc.:


      Examples of identification documents with a photograph:
      1. [1] A photocopy of your driver's license;
      2. [2] A photocopy of your passport;
      3. [3] A photocopy of your My Number card with photo (your personal identification number must be hidden); or
      4. [4] A photocopy of an identification document issued by a government office which is equivalent to any of the documents (1) to (3) above.

      3. [3] A certified copy of your family register for all family members (koseki tohon) or a certified copy of your family register for individual family members (koseki shohon) (a certified copy must be issued within the last 30 days. 7. Personal Information of children aged 15 and younger

We exercise the same degree of care to protect the personal information of customers aged 15 and younger as we do to protect that of other customers. We ask that parental consent be given if personal information about customers aged 15 and younger is provided to us.

Specific Personal Information Protection Policy

We have adopted this Specific Personal Information Protection Policy to ensure that we properly process personal identification numbers and other specific personal information (referred to collectively as “Specific Personal Information”).

1. Compliance with Applicable Laws and Regulations and Guidelines

We properly process Specific Personal Information in compliance with the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (the “My Number Act”), the Act on the Protection of Personal Information, and the Guidelines on the Proper Processing of Specific Personal Information (for Business Operators).

2. Security Measures

With respect to security measures for Specific Personal Information, we will adopt and comply with Specific Personal Information Protection Rules and Detailed Rules for Specific Personal Information Security Measures.
